Shift templates & coverage
Shift templates are how you teach the rota what a normal day looks like at your place — your fixed shifts and the minimum crew each one needs. Once they're set, Suggest week places people on those shifts and the Coverage card knows when a day is short-staffed.
You set them up under Settings → Rota. Owners can edit; managers see them read-only.

Trading hours
Trading hours — your Opens and Closes times — keep suggested shifts inside the hours you're actually open. A closing time earlier than the opening time means you close after midnight. Leave them blank to let shifts be placed freely.
Shift templates
Under Shift templates, define the fixed daily shifts you run. Each template has:
- A Name (e.g. "Morning", "Afternoon")
- Starts and Ends times
- Min FOH and Min BOH — the fewest Front- and Back-of-House staff that shift needs
Click Add shift to add one, or — starting from empty — Use morning + afternoon to drop in a typical open-and-close pair you can adjust.
Templates are optional. Leave them empty and the rota learns shift times from your recent weeks instead. Setting them pays off when your days follow a predictable shape — it makes Suggest week far more accurate.
How templates power the rota
Once templates exist, two things use them:
- Suggest week places staff onto these fixed blocks and makes sure each shift's minimum FOH and BOH crew is met on every open day.
- Coverage adds up your templates' minimums to know the crew each day needs. When a day falls below it, the Coverage card flags Needs attention and tells you which section is short on which days. With no templates set, it falls back to a sensible default of 2 FOH and 1 BOH.
Auto clock-out lives here too
The same Settings → Rota page has Auto clock-out — the time a forgotten clock-out is automatically closed. It's really an attendance setting, so it's covered in Worked hours & clock-ins over in the Staff & HR section, but this is where you'll find the control.
